JOB SUMMARY

Provide direct support to the Vice President and Directors. Serve as a liaison between the

Vice President and the Information Technology Staff and other departments within KFB. Provide general administrative support, telephone coverage, demanding calendar management, meeting and detailed travel arrangements, expense reports, department budget, filing, copying, mailing and faxing.

 

 

Responsibilities

 

ESSENTIAL FUNCTIONS

  • Manage Vice President’s Calendar including travel arrangements and ensuing that meetings are scheduled and updated efficiently and on a timely basis.
  • Establish professional relationships with the IT staff, Agency Force, and other departments within the company.
  • Plan and manage IT Department budget.
  • Plan and manage project portfolio.
  • Report all department financial transactions.
  • Compose communications for the Vice President and Directors. Ensure accuracy by editing and proofing documents.
  • Coordinate production of creative, clear, accurate and innovative presentations.
  • Demonstrate strong organizational skills and the ability to handle multiple changing agendas in a quick-paced and deadline-driven environment.
  • Make recommendations to optimize efficiencies in department processes.
  • Perform special and confidential projects.
  • Professionally screen and respond to high volume of urgent phone calls. Use good judgment when providing assistance and/or routing phone calls.
  • Serve as liaison between Vice President and vendors to ensure appropriate communications and use of time.
  • Make decisions in the absence of management and communicate the information as requested.
  • Review and analyze all reports and provide summary information to the Vice President for review.
  • Regular, predictable attendance as employee has to physically be in the office.

JOB SPECIFICATIONS

  • Physical demands: Normal hearing/vision (with or without correction); Sitting; Speaking.
  • Mental demands: Time pressures with frequent interruptions and distractions; Mature judgment and critical thinking skills.
  • Environmental factors: Standard office lighting, temperature, and noise.
  • Equipment: Telephone; Keyboard; Personal Computer; Fax; Copier.

Qualifications

 

QUALIFICATIONS

  • A combination of formal education, training and experience to acquire knowledge and skills generally equivalent to those possessed by an experienced high school graduate or acquired through two years of college. Associate’s degree preferred.
  • Information Technology background preferred.
  • Ability to perform multiple tasks and handle changing priorities successfully in a fast paced environment with little supervision.
  • Flexible, high-energy, forward-thinking/planning result-oriented individual with strong follow through and organizational skills.
  • Must possess a high degree of integrity when dealing with confidential and sensitive information.
  • Must be able to work well with people at all levels of the organization, internal and external.
  • Assertiveness and ability to recommend process innovations and improvements.
  • Strong working knowledge of MS Office and Outlook.
  • Assist on communicating drawn conclusions from analyzed data.
  • Excellent oral and written communication skills.
  • Strong organization and interpersonal skills.
  • Accuracy and attention to detail essential.
