This position exists to assist with the administrative duties for the department.  Will also support the overall goals and responsibilities of the department.  Prepares correspondence and reports, as well as assisting with communication efforts for the department on behalf of the department Vice-President and Directors.  Provides service to other entities regarding the department’s products and services.



ESSENTIAL FUNCTIONS                                                                 

  • Assist the entire Agency Support & Marketing (AS&M) department as needed.
  • Provide calendar and email support to the Directors and District Managers.
  • Prepare various documents and reports, including expense accounts, invoices and check requests.
  • Assist with department event planning and meetings.
  • Prepare formal letters to agents and insureds as directed by AS&M management.
  • Administer the Errors & Omissions program, to include daily payment monitoring, coordination of meetings, and providing correspondence and claim status updates for all committee members.
  • Assist in administration of AS&M Incentive Programs. Involves collecting RSVPs, securing reservations and appointments, and coordinating prize ordering and distribution.
  • Administer the policy transfer process, which includes daily authorization of all membership and policy transfers between agencies.
  • Assist in the development and support of marketing reports used by AS&M management.
  • Assist in the administration of Compliance issues and Department of Insurance correspondence.
  • Must be able to maintain a highly confidential manner.
  • Assist Agency Support & Marketing Management with meetings by securing meeting sites and determining equipment needs, creating and sending out meeting notices, etc.
  • Receive phone calls and relay messages on behalf of AS&M management.
  • Maintain department stock supplies and serve as equipment coordinator.
  • Regular, predictable attendance.

JOB SPECIFICATIONS

  • High school diploma or GED required. Associates degree preferred.
  • Minimum 2 years previous clerical or secretarial experience required.
  • Demonstrated proficiency with Microsoft Office products (e.g. Word, PowerPoint, Excel, Outlook, etc).
  • Team player with excellent human relation skills.

  • Above average writing, spelling, and grammar skills.
