Overview

The Facilities Coordinator is responsible for the coordination of general and preventive maintenance services and support for all KFB facilities. Responsibilities include but are not limited to the coordination and management of services such as cleaning, security and fire systems maintenance, recycling, lawn and landscaping, HVAC, electrical, and plumbing. The Facilities Coordinator will collaborate with people at all levels within the organization to help provide a functional, safe, clean, and well-maintained office environment facilities experience for all KFB associates and guests.

Responsibilities

ESSENTIAL FUNCTIONS

Coordinates a preventive maintenance programs within the confines of an annual budget.  This includes all equipment such as HVAC systems, fire systems, security systems, generators as well as coordinating other general repairs and maintenance needed.

Develops and maintains positive relationships with District Claim Managers and staff, to provide collaborative solutions to resolve regional office facility needs and improvements.

Develops, manages and maintains vendor relationships and contracts to support the needs of KFB facilities.

Build relationships with individuals at all levels of the organization to maintain connectivity to the business and the responsibilities and functions of each department.

Offers exceptional customer service to internal and external customers. 

Contributes to the annual budget process and operates within that budget regarding expenses for production supplies, operating supplies, maintenance, and utility costs. 

Supports the fire evacuation and disaster response plans. 

Perform site visits to regional locations frequently to inspect facilities and maintain positive relationships with office staff and service providers.

Maintains periodic appraisals for all facilities as needed. 

Coordinates needed inspection to satisfy safety and insurance requirements.

Prepare reports as needed to keep leadership aware of activities and needs for improvement in facilities management.

Helps plan, purchase, schedule, direct, and oversee the installation of new modular furniture along with relocation of current modular furniture.

Identifies and communicates cleaning issues to cleaning site-supervisor and Manager.

Sources and coordinates all needed maintenance repairs, lawn/landscape services, security services and housekeeping services.

Makes recommendations for new and additional equipment needs.

Provides support and transportation of various goods for company meetings and events as needed utilizing KFB’s fleet.   

Maintains operation skills for material handling equipment including performing

routine maintenance.

Regular, predictable attendance.

OTHER RESPONSIBILITES

Corresponds with Support Services to maintain stock of facilities related products.

Some of the duties described above are general in nature and may not completely

cover all aspects of this position.  The supervisor may ask the employee to perform

other work-related duties including, but not limited to cross-training on other positions.

 

JOB SPECIFICATIONS

Environmental factors: Standard office lighting and temperature; Exposure to high

temperatures, on occasion, when working at off-site warehouse.

Physical demands: Normal vision/hearing (with or without correction); Standing (frequently); Lifting – not exceeding 75 pounds (Frequently).

Mental demands: Ability to work under time pressure and high-volume production; Analytic reasoning.

Equipment: Pallet stacker, reach truck; Manual and electric pallet jack; Van; Large trucks, Trailers and personal computer.

Occasional on call responsibilities as well as occasional night and weekend work will be required.

Up to 20% of time spent traveling within the state. 

Qualifications

High school diploma or GED.

1-3 years’ experience working in a business environment.

Excellent Interpersonal / relationship building skills.

Experience with, and ability to perform various general maintenance related tasks 

Ability and initiative to analyze and solve problems.

Good decision-making and organizational skills.

Professional verbal and written communication skills.

Experience driving large vehicles and proficiency in operating a truck and trailer preferred, or the desire and aptitude to learn.

Valid driver’s license and good driving record.

Basic PC knowledge.
