Overview

*This position is for the Kentucky Farm Bureau Federation.*

 

Assist the Director of Commodity Division, Commodity Specialist, Commodity Marketing Specialist, and Livestock and Environmental Field Specialist by performing administrative and data entry duties.
Provide administrative support to ensure efficient operation of program areas. Major areas of support will include the Generation Bridge Program.

Responsibilities

ESSENTIAL FUNCTIONS
Transcribe letters, memorandums and reports accurately.
Exhibits polite and professional communication when screening, transmitting and responding to telephone calls.
Prepare correspondence and plan for advisory committee meetings.
Record, transcribe and distribute minutes for various advisory committees and working groups and prepare summaries for state board reports.
Research, data collection and organization of information related to each director’s position.
Maintain and assist in establishing a calendar of activities for Director of Commodity Division, including an active awareness of these activities and their relevancy.
Assists Commodity Division with commodity tours, Board of Directors Educational Tour and Certified Farm Market Program, including tour book development.
Assists with state annual meeting activities for commodity programs and other programs as needed.
Assists Director of Commodity Division in coordination of Farmer of the Year program.
Coordinate black vulture permit applications and approvals.
Compile orders and compose invoices for KFB Ag Fact books.
Maintain filing systems for Director of Commodity Division.
Regular, predictable attendance.
Assists with the KFB Certified Farm Market Program as directed.
Record and compile grain bids and distribute to the appropriate groups.
Serve as committee assistant for the Generation Bridge Program.

OTHER RESPONSIBILITIES
Assist in making meeting room, flight and hotel arrangements.
Sort and distribute the Division’s mail.
Assist and cooperate with Federation personnel when needed.
Assist with State Fair activities and other special events as needed.
Promote organization’s mission statement, goals and objectives.
Provide Executive Vice President with status reports, including accomplishments, goals and objectives as requested.
Serve on intra and inter committees as directed.

County Farm Bureau leaders and office personnel.
Individual Farm Bureau members.
Various state and federal agencies.
Various state commodity organizations.
American Farm Bureau Federation and various state Farm Bureaus.
Kentucky Farm Bureau Insurance Company.
Representatives of outside groups, and organizations with similar interests.
Hotels, caterers and travel agency personnel.

Qualifications

MINIMUM EDUCATION/TRAINING REQUIREMENTS
A combination of formal education, training and experience to acquire knowledge and skills generally equivalent to those possessed by an experienced high school graduate or acquired through business school or college.
Note taking ability.
Minimum typing speed of 50 wpm.

MINIMUM EXPERIENCE/OTHER REQUIREMENTS
At least two years administrative experience.
Courteous telephone manner.
Excellent organization skills.
Good communication skills, both oral and written.
Experience in use of computer, Internet, telephone, copier, etc.
Self-starter and ability to work independently or with minimum supervision in major areas of responsibility.
Ability to interact effectively with a team concept.
Ability to relate to and interact with farmers, agency personnel and elected officials.
Willingness to perform work assignments after hours in order to meet job demands.
Ability to reason and solve problems.
Willingness to travel if necessary.
