Overview

*This position is for the Kentucky Farm Bureau Federation.*

 

Assist in all tasks required to process memberships and membership systems.

Responsibilities

Process membership tasks daily and resolve any problems which may arise.

 

Review and reply to email messages.

 

Correspond by phone to county offices and state office personnel to inform and resolve problems.

 

Process requests for membership lists and including those for outside vendors.

 

Process membership refund requests.

 

Monitor reclassification requests submitted by county Farm

 

Monitor processing of insufficient funds membership dues checks and input refunds.

 

Monitor membership deletion requests.

 

Maintain spreadsheet of county dues including discounts and applicable

 

Assisting in maintenance of spreadsheet of county address and phone number.

 

Run reports on a regular basis to keep membership database in sync with Client system.

 

Run applicable reports and balance the first notice membership renewal notice and delinquent notice.

 

Conduct county audits for membership.

 

Balance and fix errors in the system

OTHER RESPONSIBILITIES

 

Assist with Annual Meeting and State Fair activities and other special events as needed. Some Travel required.

 

Assist and cooperate with Federation personnel when needed.

 

Promote organization’s mission statement, goals and objectives.

 

Serve on intra and inter committees as directed.

 

Work with programming and data processing to discuss changes and updates to be made on daily, monthly or yearly jobs.

 

Meet with or talk by phone with members of Insurance Company staff to discuss problems and solutions pertaining to membership.

 

Fill in when needed to work overflow and in the absence of another member of membership staff.

 

Keep inventory of membership forms.

 

Report to Membership Systems Director and Assistant Director – inform, discuss and resolve anything pertaining to statewide membership.

 

Prepare reports and assist credentials committee.

  

Maintain communications with county Farm Bureaus to keep them informed of membership processing annual calendar and deadlines.

 

The duties described above are general in nature and may not completely cover all aspects of this position.

 

Assist Membership Systems Director and Assistant Director with IMIS reporting and development.

All divisions of Kentucky Farm Bureau Federation.

 

County and state Farm Bureau leaders and office personnel.

 

Individual Farm Bureau members.

 

American Farm Bureau Federation and various state Farm Bureaus.

 

Kentucky Farm Bureau Insurance Companies.

 

Representatives of outside groups and organizations.

 

 

JOB SPECIFICATIONS

 

Physical demands:

Sitting, standing, normal vision/hearing (with or without correction) speaking, kneeling/ stooping, walking, lifting, reading and writing.

 

Mental Demands:

Ability to reason and make decisions, prolonged concentration, ability to coordinate and complete several tasks under time constraints.

 

Equipment:

Keyboard, personal computer, telephone, fax machine, copy equipment.

 

Environment factors:

Standard office lighting, temperature and noise, working indoors.

Qualifications

MINIMUM EDUCATION/TRAINING REQUIREMENTS

 

A combination of formal education, training and experience to acquire knowledge and skills generally equivalent to those possessed by an experienced high school graduate or acquired through business school or college.

 

Minimum typing skills to achieve speed of 50 wpm.

 

Basic knowledge of personal computers and word processing.

 

Extensive knowledge of Excel

 

 

 

MINIMUM EXPERIENCE/OTHER REQUIREMENTS

 

Courteous telephone manner.

 

Great communication skills, both oral and written.

 

Experience in use of personal computer, telephone, copier, etc.

 

Self-starter and ability to work with minimum supervision.

 

Ability to interact effectively with a team concept.

 

Ability to relate to and interact with farmers, agency personnel and vendors.

 

Willingness to perform work assignments after office hours in order to meet job demands.

 

Ability to reason and solve problems with prolonged concentration.

 

Willingness to travel if necessary.

 

Must be able to sit for long periods of time.
