Overview

*This position is for the Kentucky Farm Bureau Federation*

Provide administrative support to the Public Affairs Division

Responsibilities

ESSENTIAL FUNCTIONS

 

Accurately transcribes letters and reports.

Record, transcribe and distribute minutes for various advisory committees and prepare summaries for state board reports, and strategic plan reports.

Proficiency with committee meeting arrangements and document preparation.

Effectively screens, transmits, and responds to telephone calls and emails.

Maintains a calendar of activities for the Director of Public Affairs and other Public Affairs Division staff, which includes assistance in scheduling legislative meetings.

Maintains a filing system for the Director of Public Affairs.

Coordinates the scheduling of Spring District meetings and July Policy

Development district meetings including preparation of material provided to each district.

Categorize, type and duplicate individual county resolutions submitted for the State Resolutions Committee. Also, coordinate all arrangements for the State Resolutions Committee meeting.

Coordinate State Resolutions Committee meeting during the annual meeting and records action taken by voting delegates at the state annual meeting regarding policy recommendations and any other issues.

Coordinates tickets sales, printing of tickets and program, and distribution of tickets, parking and gate passes for the Ham Breakfast at the State Fair.

Compile and oversee publication and distribution of Kentucky Farm Bureau policy book and priority issues brochures following Kentucky Farm Bureau annual meeting.

Distribute Public Affairs reports weekly during the state legislative session and on as needed basis throughout the year.

Assist National Affairs Director with distribution of federal legislative reports as needed.

Assist with registration and other planning preparations for the Congressional Tour.       

Serve as committee assistant for the Generation Bridge Program. Including but not limited to, assistance in meeting planning, preparation of presentation materials, name badges, handouts, booklets, brochures, and agendas.

Regular, predictable attendance.

OTHER RESPONSIBILITIES

 

Secure bids for printing of KFB policy booklet annually.

Secure bids for the annual printing of KFB legislative priorities brochure.

Assists with development of and distribution of State Legislative Action Requests.

Assists with coordination of Legislative Drive-In/Food Check-out Day during General Assembly.

Assists with other State Fair activities and other special events as needed.

Update division’s procedure manual.

Assists and cooperate with Federation personnel when needed.

Promotes the organization’s mission statement, goals and objectives.

Serve on intra and inter committees as directed.

JOB SPECIFICATIONS

 

Physical demands: Sitting for long periods; Normal vision and hearing (with or without
correction); Must be able to lift up to 50 pounds; Speaking

Mental Demands: Ability to reason and make decisions; Prolonged concentration; Ability to
multi-task to complete several tasks under time constraints

Equipment: Computer; Telephone; other office equipment

Environment factors: Standard office lighting, temperature and noise

Qualifications

MINIMUM EDUCATION/TRAINING REQUIREMENTS

 

A combination of formal education, training and experience to acquire knowledge and skills generally equivalent to those possessed by an experienced high school graduate or acquired through business school or college.

Shorthand capabilities and/or note taking.

Proficient computer skills, including Microsoft Office and Excel.

Strong verbal and written communication skills.

Working knowledge of general office equipment.

Filing and organizational skills.

 

MINIMUM EXPERIENCE/OTHER REQUIREMENTS

 

At least two years administrative experience, including shorthand and/or note taking; or a business or college degree.

Good communication skills, both oral and written.

Courteous telephone manner.

Experience in the use of personal computer, telephone, copier, etc.

Self-starter and ability to work with minimum supervision in major areas of responsibility.

Ability to interact effectively with a team concept.

Ability to relate and interact with farmers, agency personnel and elected officials.

Willingness to perform work assignments after office hours in order to meet job demands.

Ability to reason and solve problems.

Willingness to travel if necessary.
